Part A

1. Five (5) work practices with ergonomic requirements.

The following are some of the strategies which we can adopt for organizing the personal work environment based on ergonomics requirement

Adequate lighting – The work environment should be equipped with adequate lighting so that the employees can work effectively without much strain for their eyes

Keyboard and mouse –the keyboard and mouse should be place in a proper manner so that it support the employees to work better

The radiation from the computers should be minimized by installing screens

The layout of the workstation should be designed in a perfect manner

The noise in the work area should be minimized to a greater extent, for example, printers; photocopying machines need to be placed in a corner so that the employees are not distracted

2. Five (5) techniques you can use to conserve energy and resources.

In order to conserve energy in the work place, the following strategies can be used

CFL lights –The 1st strategy is that to replace the existing incandescent bulbs with CFL bulbs, these types of bulbs can save nearly 40% to 70% of energy and provide the same kind of lighting in the work place

Lowering the room temperature –The management can focus in lowering the room temperature by 1 degree to 2 degree which will result in bigger energy savings

Switch off monitor, lighting and other equipments –The employees should be encouraged to switch off the lights when not in use, turn off the computers & monitors and other electrical systems when it is not in used. This will help in reducing the cost and enable in conserving energy

Energy efficient appliances – Always insist in using energy efficient equipments, for example air conditioners need to have 5 star ratings which will help in conserving the energy to a larger extent

Installation of energy efficient windows –The management should consider in installing energy efficient windows so that less heat is absorbed into the work area, this will result in less usage of air coolers which will enable in conserving the energy and reducing the cost to the management.

3. Purpose and the intended audience

For an effective presentation the purpose of the presentation is highly important, because this intends to state the objective of the presentation. Any presenter before beginning his presentation need to state the context and the objective of the presentation, it will enable in attracting the attention of the audience and enable them to be interactive during presentation. Also noted is the intended audience is also one of the important factor in the presentation, if the audiences are mixed group with different level of experiences, knowledge and age group, this will enable the presenter to be more dynamic in the presentation and enable in sharing the knowledge and experience among each others.

4. Supporting documents and equipment.

A. Three (3) pieces of business equipment.

The presenter can use different equipments for effective presentation:

LCD Projector:This will help the presenter to project the presentation in the screen, usually the presenter will create PowerPoint presentation and in order to project it to the large audience, this projector will be of very helpful

Smart board: A smart board is an interactive board which will help the presenter in having an interactive presentation by projecting on screen, the presenter can write on the smart board and can either save them for future use or delete them.

Laser pointer pen – this will enable the presenter to point out specific aspects in the presentation

B. Two (2) documents (presentation materials) that.

In order to have an effective presentation, the presenter can create additional documents which will assist the audience to follow through the presentation, some of them are

Speaker notes – this will provide the audience the important points which is covered in the presentation, the speaker notes is a handout which will contain the core objective of the presentation along with the gist of the topic which is intended to be covered by the presenter

Handouts and questionnaire: In certain occasions the presenter wanted to understand the opinion of the audience, therefore he may provide a questionnaire or handouts to the audience and will request them to answer the questions.

5. Storyboard

A storyboard will provide an overview of the presentation by focusing only on the major aspects. It will provide a brief idea of the context, graphs, pictures which will enable the speaker to talk more on the subject area. The story board can be considered as a quick sketch drawn by hand in a paper or in an interactive board. This will provide the audience a quick understanding of the presentation which can happen through a logical flow and it intends to create a best impact in the minds of the audience, furthermore, the story board intends to retain certain information in the minds of the audience.

6. Three (3) methods for storing an electronic presentation.

The presentation can be stored in many ways, some of them are

Storage devices –The presentation can be saved in electronic storage devices like USB pen drive, CD ROM, external hard disk etc. This method can be used when the presentation needs to be carried for external usage so that it is handy.

Organisation server – Each organisation will possess their own server or may hire a server space using cloud technology, the presentation can be saved in such server. If the presentation is going to be outside the organisation, but there is a fear that the external storage devices may be lost or corrupted. The presenter can download the presentation from cloud computing.

Authorized access –Presentations can also be saved in the network drive of the organisation with limited access or password protected.

7.Basic custom show.

A basic custom show is a presentation which will include few slides from the original presentation; this will enable the presenter to provide a quick aspect of the presentation by using hyperlinks which will facilitate them to navigate through the presentations effectively.

Part B

1. Purposeof presentation.

How will this presentation differ from a traditional resume and a traditional job interview?

The audience is the top management of the organisation and I’m going to present them about me and how I can support the organisation through my knowledge. Since this is more of an interview, I will expect questions from the audience about my skills, knowledge, attitude etc. The presentation is of interview and it is not any marketing presentation.

The objective of the presentation is very clear as it is focused more in telling my strengths, what I’m good at. How can I contribute to the company goals etc?

This presentation is different from traditional job interview, where the candidates will be called in and questions will be asked by the manager to which the interviewee will answer, but in this style, the job applicant will present a detailed aspect of his presentation and will make a brief explanation of his skills, so he has more time to tell what he is good at, how best he can perform in the team etc.

2. Timeframe.

The timeframe which I need to cover up the presentation is 15 minutes and I will allow another 10 minutes for questions from the top management. In a presentation, the presenter need to focus on the points which he wants to project to the audience and once the presentation is over, in order to make the presentation lively, the presenter will allow the audience to pose the question and attempt to answer it

3. Presentation requirementsare?

The equipments which I require to provide the presentation are the computer, monitor, keyboard, mouse, LCD projector, Smart board, interactive pen. I will also prepare a separate presentation and keep available it in USB pen drive. Also, I will have 10 sets of audience notes which will provide a brief of my presentations. I will make sure that all the other equipments are in place before making the presentations. I will also save a copy of the presentation in my personal email so that in case if the USB Pen drive is corrupted I can retrieve it from my email. I will ensure that the audience notes contain the most important points which will be covered in the presentation, the notes will contain my name, my contact number and email id for easy reference of the audience.

4. Create a storyboard to help plan the content and layout design of your presentation.

The storyboard will enable me in creating the content in a more interactive manner; it will state the major points like my education background, my achievements, my strengths, hobbies etc.

I will ensure that the storyboard is been carried out in a constructive and interactive manner so that the audience can easily understand the key aspects behind the presentation. I will put bullet points so that it will easy for the audience to read the storyboard and can snatch the needed information quickly and effectively.

5. Presentation features.

The presentation features which will be used is the PowerPoint slides of atleast 6 to 7 slides, a LCD projector and screen, audio video features, interactive pen with smart board. I would require PPT for showing the presentation to the audience, an LCD projector & screen through which the presentation will be projected to the audience, I intend to use audio video visuals so that the audience can be made interactive instead of a boring presentation, for this I will use AV etc. an interactive pen and smart board will be used for writing a short storyboard to the audience

6. presentation is consistent in layout and design

In order to ensure that the presentation prepared is consistent I will use the template which is readily available in the PPT. In the design tab there are various templates which are already in-built, this will enable in providing me a perfect layout and design, and I can use any of these templates and prepare my presentations based on the same. Also, in order to ensure that it is free from grammatical error, I will create the presentation in word file which will provide me whether there is spelling error or grammatical error, to use a short cut I will press F7, which will provide me the quick check on the errors and suggest me to change.
